By accessing or using AutoTender.ai ("the Service"), operated by AUTOTENDER LTD ("AutoTender", "we", "us", "our"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms constitute a legally binding agreement between you and AutoTender governing your use of the platform, any related APIs, browser extensions, and all content, features, and functionality offered through the Service.
AutoTender.ai is an AI bid preparation platform for government tenders. It finds tenders that fit your company, drafts bid proposals from your company data, and checks them with up to 12 specialist AI agents. AutoTender prepares your bid; you review it and you submit it. The Service includes tender discovery across government procurement portals, AI-powered proposal generation, a Chrome browser extension that fills supported portal forms for you to review and submit, bid tracking and analytics, and related notifications, emails, and reporting features. You can edit, hold back or abandon any bid at any time before you submit it. The Service does not cover every public contract. Tenders issued by the US Department of Defense, its agencies or the US armed services are not discovered and cannot be used to generate a bid, because that work requires certifications (such as CMMC) that AutoTender does not hold, and we may exclude other categories of tender under our eligibility policy; we will tell you which on request.
You must be at least 18 years old and have the legal authority to bind the entity on whose behalf you are bidding. You confirm that you use the Service for your business, not as a consumer. By using the Service, you represent and warrant that: all information provided during registration and onboarding is accurate, current, and complete; you have the authority to bid on behalf of your organisation; you will update your information promptly if it changes; and you are not prohibited from using the Service under any applicable law or regulation. We reserve the right to refuse service, terminate accounts, or cancel subscriptions at our sole discretion if we reasonably believe any of these representations are false.
To use the Service, you must create an account by providing a valid email address and password, or, where offered, by signing in with Google or Microsoft. You are responsible for: maintaining the confidentiality and security of your account credentials; all activity that occurs under your account, whether or not authorised by you; notifying us immediately at security@autotender.ai of any unauthorised access or security breach; and ensuring that your account is used only by you (each account is for one person). We are not liable for any loss or damage arising from your failure to comply with these obligations.
The quality and accuracy of AI-generated bid proposals depend directly on the data you provide during onboarding and through your company profile. You are solely responsible for the accuracy, completeness, and currency of: your company description, sector, and registration details; team member qualifications and certifications; past project descriptions and contract values; pricing data, day rates, and margin targets; and any certifications, accreditations, or compliance claims. AutoTender's AI agents source all bid content from your verified data. If your data contains errors, those errors may propagate into generated proposals. We are not responsible for bid failures, disqualifications, or contractual disputes arising from inaccurate profile data.
Plans and prices. The Service offers multiple subscription tiers: Scout (free, limited to tender discovery and 1 lifetime bid), Starter ($99/month; £79/month in the UK; €89/month in Europe), Pro ($399/month; £299/month in the UK; €349/month in Europe), and Enterprise (custom pricing). Prices are in pounds sterling in the United Kingdom, in euros in Europe, and in US dollars everywhere else. Which one you see follows the country on your company profile; until you add a country, it is the currency you were shown when you signed up from a price on our website, or else the one for where you are. You are charged in the currency shown when you first subscribe, and it then stays the same for that subscription. Paid plans are billed monthly or annually via Stripe. Annual billing provides a discounted rate. Extra bids. Extra (add-on) bids are available on the Starter plan ($59, £45 in the UK or €55 in Europe, per bid, maximum 3 per calendar month) and the Pro plan ($59, £45 in the UK or €55 in Europe, per bid, maximum 10 per calendar month), as one-time charges. On an Enterprise plan, extra bids are added by agreement with us: ask for them with Request extra bids in the app, or email sales@autotender.ai. Unused extra bids expire at your next monthly bid reset (on a monthly plan, when it renews; on an annual plan, once a month). Tax and payment. Prices exclude applicable taxes. While AutoTender is not registered for VAT or sales tax no tax is charged; once registered, tax is added at checkout. You authorise us to charge your payment method on file for all fees incurred. Refund of your first payment. If the Service is not right for you, email support@autotender.ai within 14 days of the first payment of a new paid subscription. We refund what you paid, less your plan's per-bid price for each bid you have used from the plan's monthly bids. Your plan's per-bid price is what you paid for that first period, divided by the months it covers and by the plan's bids a month. We count the first bids you used on the paid plan since that payment, up to the plan's monthly bids, including bids started by Auto-bid and bids still being written. We do not count your free bid, a bid whose credit was given back (one that failed, or one Auto-bid skipped after its fit check), or extra bids you bought separately. The deduction is worked out exactly and rounded once to the penny or cent; it is never more than what you paid for one month, and the refund is never below zero. This refund is given once per account, and only while that first payment is still the latest payment on your subscription (an upgrade or a switch to annual billing makes a new one). When we make it, your paid plan ends straight away and your account returns to the Scout plan, where your free bid can be read but not edited or downloaded. Renewal payments and extra bids are non-refundable except where required by applicable law. Cancelling. You may cancel your subscription at any time in Settings > Billing. Your plan stays active until the end of the period you have paid for, and until then you can choose Keep my plan to carry on as before. After that your account moves to the Scout plan. Apart from the refund of a first payment above, unused time is not refunded. An Enterprise plan ends as its written order says: to end it, choose Request a plan change in Settings > Billing and then End my plan (you get a copy of the request by email), or email sales@autotender.ai. Price changes. We reserve the right to change pricing with 30 days' written notice. Price changes will not affect the current billing cycle.
Who can take part. Any account holder can share a referral link. A person who signs up through a link is the referred user. You cannot use your own code. What the referred user gets. 20% off one month's price, taken off their first payment, whether they pay monthly or yearly, and used once: $79.80, £59.80 in the UK or €69.80 in Europe on Pro, and $19.80, £15.80 in the UK or €17.80 in Europe on Starter. After that they pay the normal price. What the referrer gets. One bid credit for each referred user who becomes a paying subscriber, up to 3 credits per month. A conversion beyond that limit is kept and its credit is added later, when there is room. On a paid plan, referral credits are added to your bids for the month and expire at your next monthly bid reset, or when the subscription ends. On the free Scout plan, they stay on your account until you use them and carry over if you upgrade. Referral credits have no cash value and cannot be transferred or exchanged. Fraud and holds. When the referrer and the referred user share a company email domain, we hold the credit for 7 days before it is added. If the referred user's first payment is refunded under section 6, or refunded in full, the credit it earned is removed, or is not added; if you have already used it, nothing is taken back, but that referred user cannot earn you another credit. We may withhold credits and close accounts that abuse the programme. Changes. We may change or end the programme, and we follow the notice in section 21 when we do.
The Scout plan is free and includes tender discovery across all supported portals plus one free bid for the life of the account, written and checked the same way as a paid bid. No credit card is required for the Scout plan, and there is no free trial of the paid plans. On the Scout plan you can read your free bid in full; editing it, downloading its documents and seeing its full verification report need a paid plan. If you subscribe to a paid plan before you use your free bid, you still get it, and it does not use one of your plan's monthly bids. The free bid is subject to the same quality standards and verification pipeline as paid bids. We may change or withdraw the Scout plan with at least 30 days' notice.
You retain full ownership of all data you provide to the Service, including company profiles, certifications, past project descriptions, team qualifications, pricing data, and any documents you upload. You also retain ownership of all bid documents generated by the Service on your behalf. We do not claim any intellectual property rights over your content or generated proposals. You grant us a limited, non-exclusive, non-transferable licence to process, store, and transmit your data solely for the purpose of providing the Service, including passing your data to AI models for proposal generation, storing your data in our database infrastructure, and supplying your bid data to the Chrome extension so that it can fill procurement portal forms in your browser when you use it. This licence terminates when you delete your account, subject to the data retention periods described in our Privacy Policy.
Bid proposals are drafted with AI and reviewed by you: AutoTender generates each draft, and you review it before you submit it. Where the tender or your company (for a bid written for a client, the client or your company) is in the European Union or the European Economic Area, or where neither country is known, the PDF, Word and PowerPoint files AutoTender generates carry a machine-readable marking in their file properties that they were drafted with AI; elsewhere they carry none. You must not remove or alter the AI marking that AutoTender adds to a document's file properties. Their file properties name the bidding company as the author. Bid proposals are generated by AI agents, using third-party AI model providers described in our Privacy Policy (sections 5 and 7), based on your company data and tender requirements. While up to 12 specialist AI agents check each bid to maximise accuracy, you acknowledge and agree that: AI-generated content may contain errors, omissions, or inaccuracies; you are solely responsible for reviewing all proposals before submission; AI verification does not guarantee compliance with all tender requirements; AutoTender does not guarantee the accuracy, completeness, quality, or success of any bid; and you are the legal bidder in all cases and bear full legal responsibility for every submission. We strongly recommend that all proposals be reviewed by a qualified human before submission, particularly for high-value contracts, legally sensitive requirements, or tenders with unusual compliance obligations.
AutoTender does not submit bids. You review each proposal and you submit it to the procuring authority yourself: on a supported portal, the Chrome extension fills the form and steps through its pages, and stops before the portal's final submit control, which only you press; where a tender asks for submission by email, AutoTender drafts the email and you send it from your own mailbox. Every bid you submit is your bid, made by you, and binds you as the bidder. Submitted bids cannot be recalled through AutoTender; contact the procuring authority directly.
There is no limit on how many AutoTender customers may bid for the same tender. To keep each bid your own, AutoTender writes your proposal from your company data, and before your draft is released it compares the wording with the other AutoTender bids for the same tender and rewrites wording that repeats. If a passage still repeats after rewriting, your draft is released for your review with that passage marked, and you decide how to change it before you submit. AutoTender never tells you who else is bidding, never shows you another customer's bid and never shows your bid to another customer. AutoTender cannot guarantee that your bid will read differently from every other bid, including bids written without AutoTender. You agree not to use the Service to coordinate bids between bidders or to prepare substantially identical bids for different bidders on the same tender.
Your accounts on procurement portals are your own, and so are those portals' terms. You accept each portal's terms, you choose whether to use the Chrome extension on that portal, and you press Submit. AutoTender holds no portal login and is not a party to your account with any portal. You are responsible for keeping your portal accounts in good standing and for being authorised to bid through them.
You may not: use the Service for fraudulent bids, misrepresentation, or collusion; submit false certifications, qualifications, or company information; attempt to manipulate the Pricing Firewall, quality controls, or the wording check that keeps bids distinct; reverse-engineer, decompile, or attempt to extract the source code of the Service; use the Service to build a competing product or service; share your account access with anyone else; scrape, harvest, or systematically download data from the Service; use the Service in violation of any applicable procurement laws or regulations; attempt to bypass rate limits, usage quotas, or plan restrictions; or transmit malware, viruses, or other harmful code through the Service. Violation of these restrictions may result in immediate account termination without refund.
The AutoTender Chrome Extension is an optional tool that assists with form filling on government procurement portals. The extension: reads portal page content to detect form fields and map your bid data; fills the fields it can match from your bid and company profile, including amounts, identifiers and the declarations you answered in your profile, turns a form's pages where the next control plainly moves to the next page, and lists everything it filled for you to check, but never presses a portal's final submit control (you do), and stops turning pages on a portal for every user if a page turn there is ever followed by a submission confirmation; after you press Submit, reads the portal's confirmation page to record that the bid was submitted, with the confirmation reference the portal shows where it can read one; learns the structure of a portal's forms (which page elements hold which fields, and which controls move between pages) and shares that structure, never the values you enter and never your identity, to improve filling for other users; asks for permission to work on a portal outside its built-in list at the moment you first use it there, one site at a time; stores a short-lived access token in browser session storage (cleared when the browser session ends) and a refresh token in browser local storage so you stay signed in; reads AutoTender site cookies to sync an existing web session; and communicates only with AutoTender's API endpoints. By installing the extension, you agree to the terms of the store you install it from (the Chrome Web Store or Microsoft Edge Add-ons) and acknowledge the permissions requested during installation; if you install a direct download yourself, you are responsible for installing it only from the link AutoTender gives you.
We aim to provide continuous access to the Service but do not guarantee uninterrupted availability. We may: perform scheduled maintenance with reasonable advance notice; make changes to features, functionality, or the user interface; add, modify, or discontinue specific AI agents or verification steps; and update supported procurement portals and regions. For material changes that reduce functionality available under your current plan, we will provide at least 30 days' notice and, where feasible, offer alternatives. Enterprise customers may have a separate written service level agreement (SLA) as part of an executed Enterprise order; where such an SLA exists, its specific availability commitments and remedies apply to that customer and prevail over the general availability disclaimer in this section and the "uninterrupted" disclaimer in the Disclaimer of Warranties section to the extent of any conflict.
To the maximum extent permitted by applicable law, AutoTender and its officers, directors, employees, agents, and affiliates shall not be liable for: any indirect, incidental, special, consequential, or punitive damages; lost profits, revenue, or business opportunities; lost or unsuccessful bids; data loss or corruption; business interruption; or any damages arising from reliance on AI-generated content. Our total aggregate liability for all claims arising from or related to these Terms or the Service shall not exceed the total amount you paid to us in the 12 months immediately preceding the event giving rise to the claim, or $500 USD, whichever is greater. These limitations apply regardless of the legal theory (contract, tort, strict liability, or otherwise) and even if we have been advised of the possibility of such damages.
The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory. We specifically disclaim all implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Without limiting the foregoing, we do not warrant that: bids will be successful or competitive; the Service will be uninterrupted, timely, secure, or error-free; AI-generated content will be free from errors, omissions, or inaccuracies; tender discovery will identify all available opportunities; or the Service will meet your specific requirements or expectations.
You agree to indemnify, defend, and hold harmless AutoTender and its officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from or related to: your use of the Service; your violation of these Terms; the content of bids submitted through your account; any inaccuracy in your company profile data; your violation of any applicable law or regulation; or any dispute between you and a procuring authority.
Either party may terminate this agreement at any time. You may terminate by cancelling your subscription (Settings > Billing) and deleting your account through the Settings page. We may suspend or terminate your account if: you violate these Terms; your payment method fails and is not updated within the grace period; we reasonably believe your use of the Service is fraudulent or harmful; or we are required to do so by law. Upon termination: your right to use the Service ceases immediately; if you delete your account, your data is deleted straight away in accordance with our Privacy Policy and cannot be recovered, so download it first with Download Your Data in Settings; if we end your account, we will tell you by email first, where the law allows, so that you can download your data; and, except for the refund of a first payment described in section 6 (less your plan's per-bid price for the bids you used) or where required by law, no refunds will be issued for the remaining portion of any prepaid billing period.
These Terms, and any dispute or claim arising out of or in connection with them or the Service, are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction over any such dispute or claim. Either party may seek injunctive or equitable relief in any court of competent jurisdiction to protect its intellectual property rights or confidential information.
We may update these Terms from time to time. Material changes will be communicated via email and/or in-app notification at least 30 days before taking effect. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the Service and cancel your subscription before the changes take effect.
Entire Agreement. These Terms constitute the entire agreement between you and AutoTender regarding the Service. Our Privacy Policy and Security page explain how we handle personal data and protect the Service; they are not part of this agreement. Severability. If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect. Waiver. Our failure to enforce any provision of these Terms shall not constitute a waiver of that provision or any other provision. Assignment. You may not assign your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations without restriction. Force Majeure. Neither party shall be liable for any failure or delay caused by circumstances beyond its reasonable control, including natural disasters, acts of government, network or infrastructure failures, or third-party service outages.
Questions about these Terms may be directed to legal@autotender.ai. AutoTender.ai is operated by AUTOTENDER LTD, registered in England and Wales, number 17519532, registered office: 128 City Road, London, EC1V 2NX, United Kingdom.
31 October 2026: this version. It says in section 6 that extra bids on an Enterprise plan are added by agreement with us, asked for with Request extra bids in the app or by email, and that an Enterprise plan can also be ended there, with End my plan. 30 October 2026: the previous version. It says in section 3 that you use the Service for your business, in section 4 that Google and Microsoft sign-in are used where offered, in section 6 which currency you are charged in, how to ask for a refund of your first payment and how it is worked out (your plan then ends at once), how to cancel and keep your plan, and that extra bids expire at your next monthly bid reset, in section 6B that the referral discount is 20% of one month's price on monthly and annual plans and that a refund under section 6 removes the referral credit, and in section 7 that the free bid can be read on the Scout plan and is kept if you subscribe first. 27 October 2026: an earlier version. It says in section 22 that the Privacy Policy and the Security page are not part of this agreement, and no longer lists the checks of section 9 by name. 23 October 2026: an earlier version. It adds to section 9 that you must not remove or alter the AI marking that AutoTender adds to a document's file properties, and to section 6B that a referral credit is removed, or not added, when the referred user's first payment is refunded in full (a credit already used is not taken back). 22 October 2026: an earlier version. It removes the limit of three customers per tender and describes in section 11 how AutoTender keeps bids for the same tender distinct; says in section 9 which generated documents carry an AI marking in their file properties and that the properties name the bidding company; and describes the checks as made by up to 12 specialist AI agents (sections 2 and 9). 19 October 2026: an earlier version. It names Microsoft sign-in beside Google (section 4), says that each account is for one person (sections 4 and 13), says how referral credits work on the free Scout plan (section 6B), and says in section 19 that deleting your account deletes your data at once, so you should download it first, and that the refund of a first payment described in section 6 still applies when the agreement ends. 17 October 2026: an earlier version. It describes in section 14 how the Chrome extension fills a portal form: it fills amounts, identifiers and the declarations you answered in your profile, turns the form's pages, lists what it filled for you to check, never presses the final submit control, and stops turning pages on a portal for every user if a page turn there is followed by a submission confirmation. 16 October 2026: an earlier version. It states in section 2 that tenders from the US Department of Defense, its agencies and the US armed services are not covered and why, in section 6 the price in each currency and which customers pay in which currency, and in section 9 points to the Privacy Policy for the AI model providers. 14 October 2026: an earlier version. It states that prices exclude tax and when tax is added (section 6), sets out the refund of the first payment of a new subscription (section 6), and adds section 6B, the referral programme. 3 October 2026: an earlier version. It sets out that you submit your bids yourself and that AutoTender holds no portal login (sections 10 and 12), takes the governing law from the part of the United Kingdom where our company is registered (section 20), gives 30 days' notice of material changes (section 21), and adds section 6A, which applies only while the Early Access Programme runs. The programme is not running at the moment, so section 6A is not shown in this version.
